Add a document:
Go to the company's Documents tab and click Add Document. Upload your document (we advise you to upload PDF documents). Once uploaded, edit your document settings. See below for a description of each.
Description: Give the document a name. This is how it will appear to the ees.
Viewable By: Choose who can see the document - e.g. specific class, dynamic class, tobacco status, etc.
HR Document: For HR documents like employee handbook. HR documents can be grouped together for display by creating different categories (right side of page).
Plan Document: For documents tied to specific plans like benefit summaries and forms. Check the corresponding plan(s) from the right side of the page.
Employee Home Page Compliance: These documents will always display on the ee homepage under Compliance Documents.
EOI: For Evidence of Insurability forms on voluntary life, disability and critical illness plans when ees elect an amount over the GI. Don't forget to check off the corresponding plan. Note: when no EOI form is uploaded for these plans, our pre-configured (system level) EOI forms will be used according to carrier.
SBC: For Summary of Benefits and Coverage (SBC). SBCs will always display on the ee homepage under Compliance Documents. Don't forget to check off the corresponding plan.
Show In Enrollment: Document will display on the specified plan's enrollment page in the enrollment flow (on right side of screen and under plan's Details link). Don't forget to check off the corresponding plan.
Required when enrolling: Marks document as a required task when ee enrolls in the corresponding plan. Will appear as an incomplete task on the employee's home page until ee clicks on document (no acknowledgement feature).
Note: Employees will still be able to complete their enrollments even if this task is still outstanding. Only documents marked as Plan Document & Show In Enrollment can be marked as required.
Active: Document is active and viewable by ees. Uncheck to keep document stored in system but inactivate.
Edit a document:
To edit a document's settings, click on the document title link.
Preview a document:
To preview a document, click preview next to the corresponding document.
See who's viewed a document:
To see who's viewed the document, click Views next to the corresponding document. This shows who's viewed the document and when.
Delete a document:
To delete a document, click delete next to the corresponding document.
Filter document view:
Active: Displays all active documents.
Inactive: Displays all inactive documents.
Unassigned: Displays all documents that have been uploaded but not assigned - e.g. HR / Plan Document.
Troubleshooting Document Issues:
Issue: Document is not showing up in the enrollment flow.
Confirm that the following fields are checked off:
- Plan Document
- Corresponding plan (on right side of page)
- Show In Enrollment
- Active
Issue: Document isn't displaying under the ee's Resources tab.
Possible reasons:
- Document is setup to be viewable by a specific class and ee isn't in that class.
- Document is inactive.
