Bulk Enroll Tool
The Bulk Enroll tool is an easy way to enroll all eligible employees in group Life and Disability plans that are 100% company paid. To access this tool, go to the company Benefits tab > Enrollment Tools. All plans that can be bulk enrolled will appear at the top of the page under Plans That Can Be Bulk Enrolled.
Before bulk enrolling employees in these plans, make sure the plans are turned on for enrollment (active) and marked for Require Enrollment - meaning the employees cannot decline coverage. This setting is located under the Benefits tab for both Life and Disability model plans.
Once on the Enrollment Tools tab, click Enroll next to the plan for bulk enrollment. The Bulk Enrollment page will display the plan start date, the number of eligible employees, the number of employees enrolled in the current plan and/or the future (open enrollment) plan. Employees can be bulk enrolled in both current plans, as well as future, open enrollment plans.
The Optional Effective Date field can be used to bulk enroll employees in the plan as of X date. This field should only be used if all employees need to be enrolled with a specific effective date that does not match the plan start date and/or plan eligibility rules. If left blank, all employees will be enrolled in the plan according to the plan start date and/or plan eligibility rules. This means employees will reflect the correct effective date according to the plan Eligibility Rules/Waiting Period Rules and employee hire dates. It is recommended to leave this field blank so that employees reflect the proper effective start dates.
Generally, the Enrollment Type drop-down will only include an option for Active, which will enroll all employees in the current plan with an enrollment type of current. However, if a company has an active Open Enrollment, an additional drop-down option for Open will be displayed, which allows admin to bulk enroll employees in the future plan with an enrollment type of open. These enrollments will switch from open to current once the Open Enrollment is closed out, as do all other enrollments.
There is also an option for Drop Ineligible and when check, ineligible employees that may have been inadvertently enrolled in the plan (e.g. through a bad import file) will be dropped from the plan during the bulk enroll process. It is recommended to check this field if the number of eligible employees displayed at the top of the page is lower than the number of employees enrolled in the plan. It is also a great tool for cleaning up group Life and Disability plans that may have had incorrect eligibility rules configured at one point.
When all settings for bulk enrollment have been selected, click Run to process the bulk enrollment.
- Group Life plans that allow dependent enrollments will not automatically enroll dependents in the plan - only employees will be bulk enrolled. If dependents also need to be enrolled, this will need to be processed manually via an employee's active New Hire/Open Enrollment window, or the Modify Current Enrollments link (under the employee's Employee Management tab) if no enrollment windows are active.
- Group Life/Disability plans that have plan restrictions configured. This tool only looks as basic eligibility rules of a plan when determining enrollment eligibility, and is not designed to look at and/or apply additional restrictions. Example: If a group Life plan has restrictions set so that enrollment is contingent on enrollment in a Medical plan.
