Where: Everywhere eligibility is calculated and access to enrollment is presented
Details: Completed a major change to the way we are calculating employee eligibility and presenting option to enroll in eligible plans. From the benefits summary tab, there is a new subtab called “Benefit Eligibility” which lists all eligibility details for the employee and each plan.
Access to “New Hire” enrollment is no longer determined based on the employee’s hire date, but now is determined based on the calculated new hire eligibility dates for each plan falling within new hire enrollment window. The new hire enrollment window is configured in Company Setup, Employee Options. Two new fields were added to determine the range before and after the calculated effective date an employee can enroll. The default is 90 days before the plan effective date and 30 days after. This may need to be updated if some plans have longer or shorter waiting periods. We have designed a tool to better understand this window in the “help” link on this page.
Plan activation is also simplified. Once plan is ready for enrolment, new hire, life event, or open enrollment, it can be activated. Employees will not be able to enroll in plans that are not active. Open enrollment is the only option to enroll in a plan that starts in the future.
Employee is hired on June 14th.
Eligibility into medical plan is first of the month after 30 days waiting period.
Employee would be eligible for the medical plan August 1st.
If company preference for enrollment window is:
- open 90 days before plan effective date
- close 30 days after effective date
Enrollment window would be accessible between 5/3 and 8/30
Topic: New Payroll Deduction Report
Where: On reports tab, in the custom reports section, the new report is called Payroll Deduction Report
Details: This new payroll deduction report gives a full listing of all pay period deductions for the effective date requested, with the flexibility to choose the demographic fields you want in our custom report engine. The default enrollment type will give any current or prior enrollment, allowing point-in-time reporting. Alternatively, this can be changed to report on open enrollment elections. Some clients need to report employee, spouse, and child voluntary life cost separately in payroll, while others need to sum those costs and report the total as one value. We support both options through the sum dependent cost option.
Note: If you are looking for a payroll deduction report to identify payroll deduction changes during a period of time, this is not the report you need. We will be releasing the Payroll Deduction Changes report very soon!
Topic: Updated Enrollment Changes Report
Where: On reports tab, in the change history section, the new report is called Enrollment Changes
Details: Many users are now using this report to identify changes that have occurred within a specific time period for purposes of completing a specific action, such as processing an enrollment on a carrier website or identifying a change in cost. We have added filters to this report to make some of these processes easier to manage. Filters now allow data to be run specific to a carrier, plan, or event type. We also added the modified by to report on the last person to update the record. With all these changes, we also enhanced the performance so results would be returned more quickly for larger sets of data, which include companies with a lot of employees or queries with larger date ranges.

Details: Updated existing report to remove the dependent plan enrollment and cost information, information which can be accessed through a custom or enrollment report. This report is now functional for extracting student data since we have added that dependent data to this report.
Topic: Consistent SSN formatting
Where: On reports tab, every report
Details: All reports were audited to ensure the SSN was on each report and the format used was consistently xxx-xx-xxxx. Many of our clients are extracting data from multiple reports and need a consistent identifier to merge the data. The result was 20 reports had SSN added and 6 had formatting changed. I’ll spare you the boring details of listing each of the reports.
