Setting Up Plans for OE
3rd party app plans require a 1:1 match between EN and Colonial. This means that only one plan can be setup per Colonial product, so plans must be configured as multi-year plans.
*NOTE! If you will be syncing existing Colonial enrollments, you must sync the data PRIOR TO setting up and activating Open Enrollment. Colonial sync is deactivated once an Open Enrollment season is activated.
If you'll be pulling in existing Colonial enrollments via the Colonial Sync tool, you'll first need to check with your Colonial rep to determine the ee with the earliest existing coverage effective date. This is the date that should be used as your plan start date. For example, an ee has existing coverage effective 1/1/2012. The plan start date should reflect 1/1/2012. The plan End Date should extend out several years - we recommend 12/31/2050.
Once you've got the correct dates, you can use the sync tool to pull in existing ee coverage, which will reflect as current enrollments under ee records. Then, setup your OE and include the Colonial plans. EEs will then be able to keep, change or decline existing coverage, as well as elect new, during the upcoming OE.
If you're not pulling in existing Colonial enrollments, simply set the plan start date as the OE effective date and extend the plan end date out several years (12/31/2050).
Enrolling During OE
If ees have existing coverage prior to OE, the Colonial enrollment page will present two options - Keep Existing and Change Election.
To keep existing coverage, the ee should select 'Keep Existing'. This will keep the current enrollment as is, and the ee can proceed with the next enrollment.
To make changes to existing coverage, the ee should select 'Change Election'. This will bridge the ee over to Harmony to make the desired changes. Once finished, the ee will bridge back to EN and the new elections will reflect as an open enrollment under the ee's record.
Note! If an ee wishes to cancel existing coverage during OE, the ee must select "Change Election" to bridge and cancel existing coverage in Harmony, the system of record.
Since 3rd party app plans require the 1:1 match and only 1 plan should be setup per product, the following functions aren't supported:
- Renew via the plan's Renew tab
- Passive enrollment
