Employee Navigator’s asset management software allows you to easily control and track your company’s assets. Assign and track everything from office keys to laptops, cell phones and more from one easy to use dashboard. Asset tracking is only available if you have the Elite License level.
You are able to access Asset Tracking by going into a Company>>>Settings>>>Assets.
Our Inventory page allows you to see what inventory your company has. When landing on the inventory for the first time, before anything has been added, the following message will appear: “No assets have been created. Start by clicking on “Categories” and add asset categories. Then return to Inventory to enter individual assets."
The first step is to add Categories to the system by going to the Categories tab. Examples of categories are Bathroom Key, Laptop, Monitor, Company Car, Etc. To add a category select “Add Category”. Add the name of the Category. If Multiple Assignment is selected, then an asset in that category can be assigned to multiple people. An example of a Multiple Assignment category is a bathroom key. If that check is not selected, then the asset is single assignment. This means that an asset under this category can only be assigned to one person. An example of a single assigned category is a laptop.
After Categories have been added, you can go ahead and add your Inventory. Click back into Inventory, and Add Asset. You will select the category of the asset you are adding. If a multi-assigned category is selected, then the Category, Model, and Status will appear when adding an asset. Model is a required field. If a single-assigned asset is selected, then Category, Model Date Acquired #/ID, Status, Cost, and Description will appear. Model and Date Acquired are required fields.
An asset can be assigned after it has been added to the inventory. A multiple-assigned asset can be assigned to multiple people. To assign, click into hamburger on the asset>>>Assign>>>Enter last name, and date of when the asset was assigned. Single assign assets can be assigned to one employee at a time. To assign, click into hamburger on the asset>>>Assign>>>Enter last name, and date of when the asset was assigned.
**Tip:** You can also assign an asset to an employee by searching for an employee under the assets tab, or going to the employee’s Profile>>>Assets.
Once your assets have been added and assigned they will appear on your inventory list. You are able to click into the model to give the asset details. If no Serial #/ID is available, the field will appear blank.
Assigned To can be to a specific person, or if it is assigned to multiple employees, it will display multiple.
**Tip** You are unable to delete assigned assets, or categories that have had assets added.
The hamburger gives several options, depending on if the asset has been assigned to a user, and whether it is a single assigned or multi-assigned asset.
- If an asset is assigned to multiple, then the hamburger will give the option to Edit and Assign.
- If an asset is assigned to a single user (currently assigned), then the hamburger will display Edit and Return.
- If the item is a single assign asset (and the asset is not assigned), then the hamburger will display Edit, Assign, and Delete.
- If the item is a multiple assign asset (and the asset is not assigned), then the hamburger will display Edit, Assign, and Delete.
After an asset has been assigned, you can return that asset. Assets cannot be returned in the future, so the return date must be today or earlier, and cannot be before the asset assignment date. Multiple-assigned assets can be returned on an employee by employee basis, and cannot be returned through the hamburger. You can return the asset by searching for the employee by their last name, or going to the employee Profile>>>Assets. Single assign assets can be returned by one employee at a time. To return, click into hamburger on the asset>>>Return>>>Return Asset. Enter date returned, and reason. You are also able to return a single assigned asset to an employee by searching for an employee under the assets tab, or going to the employee’s Profile>>>Assets.
When asked for a return reason, you will select from the following list:
- Broken- This will give the asset the status of retired.
- End of Life- This will give the asset the status of retired.
- Lost- This will give the asset the status of retired.
- Return to Inventory- The asset will remain active.
You are able to view the history of an asset either by clicking into the Model of the asset, or by searching for an employee. The employee’s asset history will be displayed.
